We use cookies and similar tracking technologies (like web beacons and pixels) to access or store information to enhance your experience, analyze site traffic, and for other purposes.

  • What are Cookies?
Cookies are small text files placed on your device (computer, smartphone, tablet) by websites that you visit. They are widely used to make websites work, or work more efficiently, as well as to provide information to the owners of the site.
  • How We Use Cookies:
    • Strictly Necessary Cookies: These cookies are essential for you to browse the Platform and use its features, such as accessing secure areas of the site and processing transactions. Without these cookies, services like user login and payment processing cannot be provided.
    • Performance/Analytical Cookies: These cookies collect information about how you use our Platform, for instance, which pages you go to most often, and if you get error messages from web pages. These cookies don’t collect information that identifies you. All information these cookies collect is aggregated and therefore anonymous. It is only used to improve how our Platform works. We use services like Google Analytics for this purpose.
    • Functionality Cookies: These cookies allow the Platform to remember choices you make (such as your user name, language, or the region you are in) and provide enhanced, more personal features. For instance, these cookies can be used to remember changes you have made to text size, fonts, and other parts of web pages that you can customize. They may also be used to provide services you have asked for, such as watching a video or commenting on a blog. The information these cookies collect may be anonymized, and they cannot track your browsing activity on other websites.
    • Targeting/Advertising Cookies: These cookies are used to deliver adverts more relevant to you and your interests. They are also used to limit the number of times you see an advertisement as well as help measure the effectiveness of the advertising campaign. They are usually placed by advertising networks with the website operator’s permission. They remember that you have visited a website and this information is shared with other organizations such as advertisers. [If you do not currently use these, you can state that or remove this specific type. If you do, be transparent.]
  • Your Choices Regarding Cookies:
Most web browsers allow some control of most cookies through the browser settings. You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. • Web Beacons:
Pages of our Platform and our e-mails may contain small electronic files known as web beacons (also referred to as clear gifs, pixel tags, and single-pixel gifs) that permit us, for example, to count users who have visited those pages or opened an email and for other related website statistics (for example, recording the popularity of certain website content and verifying system and server integrity).

6. Data Security

We implement a variety of security measures to maintain the safety of your personal information. These measures include the use of SSL encryption for data in transit, secure hosting environments, access controls to user data, and regular software updates.

However, please remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

7. Data Retention

We will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your information to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

Account information is generally kept as long as your account is active and for a reasonable period thereafter in case you decide to re-activate the Services or for audit and legal purposes. Logs of direct messages may be retained for a period necessary for support and dispute resolution, and then securely deleted or anonymized.

8. Your Data Protection Rights

  • Access: Request access to the personal information we hold about you.
  • Correction (Rectification): Request correction of inaccurate or incomplete personal information.
  • Erasure (Deletion): Request deletion of your personal information, subject to certain exceptions.
  • Restrict Processing: Request that we restrict the processing of your personal information in certain circumstances.
  • Data Portability: Request to receive your personal information in a structured, commonly used, and machine-readable format, and to have it transmitted to another controller, in certain circumstances.
  • Object to Processing: Object to our processing of your personal information, in certain circumstances, particularly where we are processing your data for direct marketing purposes or based on our legitimate interests.
  • Withdraw Consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.
  • Lodge a Complaint: You have the right to lodge a complaint with a data protection authority about our collection and use of your personal information. For more information, if you are in Hong Kong, please contact the Office of the Privacy Commissioner for Personal Data (PCPD). Users in other jurisdictions may contact their local data protection supervisory authority.

To exercise any of these rights, please contact us using the contact details provided in Section 12. We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal information (or to exercise any of your other rights). This is a security measure to ensure that personal information is not disclosed to any person who has no right to receive it.

9. International Data Transfers

Your information, including personal data, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those of your jurisdiction.

Our servers are located in Hong Kong. However, we use third-party service providers (e.g., for email marketing, analytics, customer support tools) that may be based in other countries and may process your data in those locations on our behalf.

If we transfer your personal data out of Hong Kong, or if data is processed by our service providers in other jurisdictions, we will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy. This includes ensuring that such transfers are made to jurisdictions that provide an adequate level of data protection or are otherwise covered by appropriate safeguards, such as Standard Contractual Clauses (SCCs) or other mechanisms recognized by applicable data protection laws.

10. Children’s Privacy

BookMyCoffeeChat is intended for a general audience. While our Terms and Conditions require users to affirm they are of legal age to enter into a contract or have obtained parental/guardian consent, we understand that individuals under the age of digital consent (which varies by jurisdiction, often 13-16) may access the Platform.

We do not knowingly collect personal identifiable information from children under the age of digital consent in their respective jurisdiction without verifiable parental or guardian consent, or in a manner that is not compliant with applicable children’s privacy laws.

If you are a parent or guardian and you are aware that your child has provided us with personal information without your consent, or if you believe we may have collected information from a child in a manner not compliant with applicable law, please contact us immediately at info@bookmycoffeechat.com. If we become aware that we have collected personal information from a child without necessary consent or in a non-compliant manner, we will take steps to remove that information from our servers and/or obtain necessary consent. Parents or guardians have the right to review the information collected from their child and request its deletion.

11. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date at the top of this Privacy Policy.

You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page. In the event of material changes, we may also provide a more prominent notice (such as by adding a statement to our homepage or sending you a notification).

Reminder of Critical Next Steps:

  1. Targeting/Advertising Cookies (Section 5): Review the “Targeting/Advertising Cookies” part. If you do not use these or allow third parties to place them for such purposes, you should state that clearly or remove that specific sub-bullet to avoid misrepresenting your practices.
  2. Children’s Privacy (Section 10): This section is a general approach. Given the statement “Children can use this,” it is absolutely VITAL that you consult with a legal professional. They will help you understand the specific obligations under PDPO (and other laws like GDPR-K or COPPA if applicable based on your user base) for processing children’s data, including requirements for verifiable parental consent mechanisms, age verification, and what information you can collect and how you can use it. The current wording is a starting point and may not be sufficient for full compliance if you knowingly process data from many young children.
  3. Link to Terms and Conditions: Ensure your Terms and Conditions are also finalized and publicly accessible.
  4. LEGAL REVIEW: This entire Privacy Policy MUST be reviewed by a lawyer specializing in Hong Kong data privacy law (and other relevant international laws if you have a global user base). They will ensure it is accurate, complete, and legally compliant for your specific operations.
  5. Accessibility: Make this Privacy Policy easily accessible on your website (e.g., footer link) and link to it during the account registration process where users agree to your terms.
